POSITION PROFILE

Responsible for fleets of business document output devices (printers, copiers and fax machines) at an IMS customer location(s) with a focus to maximizing uptime, utilization and user satisfaction while minimizing costs. Manages inventory and device service, assists site team members in developing, implementing and managing ongoing site operations. Must understand and utilize TRAC, FMAudit, Oracle and various PS tools.

JOB DUTIES AND RESPONSIBILITIES

  • Monitors all facets of the fleet program to ensure that performance standards are maintained and client requirements (contracted service levels) are consistently met
  • Engages Ricoh and/or third party resources to anticipate and prevent problems, as well as to remedy problems as they occur
  • Acts as a supporting interface to outside contractors for management of performance issues
  • Monitors the JIT parts and supplies procurement and distribution program, as well as an onsite inventory of key parts and supply items
  • Monitors Call/Support Center activity to ensure service response requirements are met, and that parts arrive in support of dispatched service technicians at the appropriate place and time
  • Helps coordinate machine moves, machine removals and new machine installations
  • Helps track machine lease expiration and/or projected end of service life dates, as required
  • Manages the collection of periodic meter readings, including review and validation
  • Maintains/updates the TRAC Fleet Management databases and generates/distributes appropriate periodic reports
  • Acts as an advocate for the customer in all matters concerning the fleet reporting and other support as required
  • Conducts periodic client satisfaction surveys
  • Together with the Sales team, provides a semi-annual executive overview of emerging business printing technology and industry trends
  • Conducts implementation of national launch programs/processes including field training
  • Supports the Service Delivery Manager
  • Performs other duties as assigned

QUALIFICATIONS (Education, Experience, and Certifications)

  • Typically requires:
  • 4-year college degree or equivalent work experience required
  • Prior experience managing large-scale fleet implementations a plus
  • Requires basic Printer, Multi-Function Printer and Multi-Function Device knowledge
  • Minimum of 2 years project/program management experience and a track record of success in customer service

  • Respond to all Customer requests in timely and professional manner.
  • Instruct end users in the appropriate use of equipment, software, and/or reference materials.
  • Assist with all aspects of technical support, including on-site visits as needed.
  • Data entry (management of data) -accurately prioritize, categorize, track and log calls, tickets, chats, etc. following client or internal tracking protocols.
  • Troubleshoot and resolve issues related to hardware/software, password resets, Microsoft operating systems, security, desktop applications, and peripherals.
  • Research/troubleshoot issues using the tools available.
  • Navigate internal/external reference support materials.
  • Proactively following up on all open issues.
  • Work closely with other team members to identify and suggest resolutions and improvements.

The Software Support Specialist works with CMS to acquire and support the IS Software and services that our clinics need. We treat CMS employees as our customers and provide timely, accurate, and professional issue resolution services. PRIMARY JOB Responsibilities

  • Provide excellent task management when Onboarding and Off Boarding Enterprise Applications. Create and Manage all On boarding and off boarding guides and check lists.
  • Manage all Application User Identity and Access Management based on Approved Job Rolls
  • Provide Software end user guides Documentation to common support problems.
  • Assist with the Creation and management of IS Policies and Governance controls.
  • Assist VP Information Systems with the Management of the Software Portfolio.
  • Assist VP Information Systems with 3rd party performance Management.
  • Assist Key Business Stakeholders with reviews of 3rd Party HIPPA Requests for Information (RFIs)
  • Maintain Data Governance and reviews and audit of 3rd Party vendors and CMS Enterprise software Roll Based Access.
  • Process Software requests and track Business Stakeholder approval throughout the software review and approval cycle.
  • Work with cross functional teams to ensure timely delivery of Goals during the project cycle.
  • Support Office 365 user accounts and licensing.
  • Support ISP network and phone contracts.
  • Support national Copier contract in alignment with the project cycle.
  • Windows OS hardware/software/licensing.
  • IT enterprise warranty maintenance and support management.
  • VOIP Phone systems.
  • Hardware procurement and asset management
  • Manage IS team Knowledge base by creating and maintaining documentation lifecycle

QUALIFICATIONS:

Education, Certification and Experience Requirements

  • 2+years experience working for a health care provider preferred
  • 2+ years hands-on Software Support experience.
  • 2+ years experience Auditing Control and compliance
  • Great customer service skills under tight deadlines
  • Proven ability to work successfully with cross functional teams
  • The ability to travel on short notice
  • On call responsibilities are required
  • AS in Health Information Technology
  • BS in Business technical management
  • Certification
  • CSX, CAP, or equivalent Certification
  • Proven ability to achieve certification in the first 90 days.
